47 How do you handle team members who are not meeting customer or client expectations?

So as a project manager, meeting customer or client expectations is very crucial. It is my responsibility to ensure that all team members are meeting customer or client expectations. If I notice that a team member is not meeting these expectations, my first step would be to have a one-on-one conversation with them to understand the underlying issue, the root cause. This could be due to a lack of training or understanding of the project goals and expectations or it could be a personal issue that is impacting their performance. Once I understand the issue, I will work with the team member to develop a plan to address it, this could involve additional training or mentoring, setting clear performance goals and expectations or adjusting the responsibilities within the team. Moreover, I will also establish a regular check-in schedule to track progress and ensure that the plan is working as intended. In addition, to addressing individual performance issues, I will also work to create a safe(both in physical and psychological level ) and positive team environment that promotes communication and collaboration. This includes fostering open lines of communication, encouraging team members to share their skills, ideas and concerns and promoting a culture of accountability, ownership and responsibility.

For example, a team member was consistently missing deadlines for a client project.

Through investigation, it was discovered that they were not clearly communicating their progress to the team which is leading to confusion and delays. So in order to address this issue, we implemented a new project management tool that allowed for real-time updates and progress tracking. We also established a weekly team meeting where team members were required to give an update on their progress. This helped to improve transparency and accountability and the team member was able to meet deadlines moving forward.  

Another example for this is a team member was receiving negative feedback from clients regarding a customer service skills. So after discussing the issue with them, it was figured out that they were feeling overwhelmed and stressed due to personal issues. To  help address this, we worked with them to develop a plan to manage their workload and improve their time management skills. We also provided a digital training on effective communication and customer service techniques so that the team member was able to improve their performance and received positive feedback from clients moving forward.
